YOUTRAINFITNESS TRAINING AND EXERCISE POLICIES
WELCOME AND POLICY OVERVIEW
Your fitness goals are important to us, and we are committed to helping you achieve them. Our training policies are designed to support your progress and clearly communicate expectations for both current and future training sessions.
Please take a moment to read these policies carefully.
1.0 FACILITY HOURS AND SCHEDULING
YOUTRAINFITNESS® operates a private training facility. Personal training and exercise sessions are scheduled by appointment only during the following hours:

Monday – Friday: 6:00 AM – 12:00 PM and 4:00 PM – 8:00 PM
-
Saturday: 7:00 AM – 12:00 PM
-
Sunday: Closed (special events or classes may be offered on occasion)
Sessions outside these hours are available by appointment only.
Clients may contact YOUTRAINFITNESS® at the contact number below or via the trainer’s email to check availability. Facility hours are consistent with training hours.

2.0 TRAINING SERVICES
YOUTRAINFITNESS® offers the following private training options:

1-on-1 Private Personal Training: One client with one trainer
-
Private Partner Training: Two clients with one trainer
-
Private Trio Training: Three clients with one trainer
Each training session may last 30 to 60 minutes, depending on the chosen training format and client preference.

We also offer stretching classes designed to help participants improve flexibility and mobility.
3.0 COMMUNICATION VIA EMAIL
To ensure your trainer can remain organized and provide the best service, all appointment requests—including scheduling, rescheduling, or cancellations—must be communicated exclusively via the trainer’s email. Text messages or verbal requests are not accepted.
Clients are expected to respond to all email communications from their trainer within 24 hours (excluding weekends and holidays). Your trainer will give all requests the same level of attention and promptness in return.
4.0 TYPE OF PACKAGES AND RATES OFFERED
We offer flexible training options designed to accommodate your goals, schedule, and budget.
4.1 Monthly Membership Training
Our monthly membership is our most popular option and offers the best overall value. This package is available for private one-on-one training as well as semi-private training (partner and trio sessions). Memberships renew monthly and do not require long-term contracts, providing maximum flexibility.
The number of training days may vary monthly, which often results in more sessions compared to fixed-session packages. For clients seeking consistency, ongoing support, and long-term progress, the monthly membership is recommended.
4.2 Personalized Workout Plan
For clients who prefer independent training, we offer a personalized workout plan that you can do on your own. This includes a professionally designed workout program tailored to each client’s goals, experience level, and available equipment.
A minimum of six sessions is required. We recommend training two to three times per week to ensure proper instruction and effective results. Clients may purchase up to twelve sessions per package. One complete exercise program is developed per package. Additional sessions may be used for supervised practice, technique review, progress assessment, or program adjustments. Additional in-person check-in sessions may be scheduled as needed.
Each Personalized Workout package expires two months from the date of purchase.
4.3 Stretching Classes
We offer beginner-level stretching classes at our facility. Participants may purchase a single-class studio pack, a 5-class studio pack, or a 10-class studio pack:

Single-class studio pack: valid for one (1) month

5-class studio pack: valid for three (3) months
-
10-class studio pack: valid for six (6) months
All studio packs are non-refundable and non-transferable. Unused classes expire at the end of the applicable validity period.
Each class is limited to ten (10) participants. Advance registration through our online scheduling software is required. Classes are subject to availability. Current rates and schedules are available through our online booking system.
4.4 Training Package Terms & Membership Benefits
All fixed training packages are subject to expiration, ranging from three to six months from the date of purchase. Monthly memberships renew automatically until canceled. We reserve the right to adjust private training package prices as operating costs change.
5.0 PAYMENTS AND DUE DATES
All fees are due prior to services being rendered.
Clients enrolled in a monthly coaching membership authorize automatic recurring billing every thirty (30) days unless cancellation notice is submitted prior to the next scheduled billing date.
Clients enrolled in a coaching membership are required to maintain a valid payment method on file, either by credit card, debit card, or ACH bank draft, to facilitate automatic recurring billing.
Clients purchasing a 4-week training package acknowledge that the package does not automatically renew and must be renewed manually if additional training services are desired. Any unused sessions remaining in a 4-week training package expire six (6) months after the original purchase date and are forfeited thereafter without refund, credit, or transfer.
YOUTRAINFITNESS®, L.L.C. will make reasonable efforts to notify clients when five (5) sessions or fewer remain in their current package or membership period. For clients continuing with a non-renewal package, payment for the new package is due upon receipt of the invoice and no later than the first scheduled session within the new package period.
All payments made to YOUTRAINFITNESS®, L.L.C. are non-refundable and non-transferable.
5.1 Membership Cancellation Policy
Clients enrolled in a monthly auto-renewal membership may cancel at any time by providing written notice via email prior to their next scheduled billing date.
Cancellation requests must be submitted via email or another written method approved by YOUTRAINFITNESS®, L.L.C.
Cancellation requests received after a billing date has processed will take effect at the end of the following billing cycle. Clients retain access to services through the end of the paid billing period. No partial refunds, credits, or prorated adjustments will be issued for unused time remaining in a billing cycle.
5.2 Accepted Payment Methods
YOUTRAINFITNESS®, L.L.C. accepts the following payment methods:
- Checks — Payable to YOUTRAINFITNESS®, L.L.C.
- Money Orders — Payable to YOUTRAINFITNESS®, L.L.C.
- ACH Bank Draft — Processed securely through Stripe or another authorized payment processor.
- Credit and Debit Cards — Processed securely through Stripe or another authorized payment processor.
5.3 ACH Preferred Pricing
Clients who enroll in ACH bank debit may qualify for preferred discounted pricing as published on the current pricing schedule.
- ACH pricing is available only while the client maintains an active ACH authorization.
- If a client switches from ACH bank draft to a credit or debit card, pricing will automatically adjust to the then-current standard card rate beginning with the next billing cycle.
- ACH pricing reflects a discounted rate associated with reduced payment processing costs.
- Clients who reactivate an ACH membership within thirty (30) days of cancellation may be eligible to resume their previous ACH rate. After thirty (30) days, the then-current membership rate will apply.
5.4 Billing Authorization
By enrolling in any recurring coaching membership, the client authorizes YOUTRAINFITNESS®, L.L.C. to:
- Automatically charge the designated payment method on a recurring monthly basis.
- Process payments through Stripe or any other authorized payment processor.
- Retry declined, returned, or failed payments as reasonably necessary to complete billing.
Clients are solely responsible for maintaining accurate payment information and ensuring sufficient available funds.
Services may be suspended immediately upon payment failure and will not resume until all outstanding balances have been paid in full.
5.4A Acknowledgment of Recurring Payment Authorization
By signing this Agreement and enrolling in any recurring membership or coaching program, the Client expressly acknowledges and agrees to the recurring payment authorization terms set forth in Section 5.4.
The Client authorizes YOUTRAINFITNESS®, L.L.C. and its authorized payment processors to automatically charge the designated payment method for all recurring membership fees, applicable taxes, and any authorized account balances in accordance with the billing schedule selected by the Client.
The Client further acknowledges that it is their responsibility to maintain accurate payment information and to provide written notice of cancellation in accordance with Section 5.1 prior to the next scheduled billing date to avoid future recurring charges.
5.5 Attendance and Session Usage Policy
Missed sessions may be rescheduled within the same billing month due to work obligations, illness, travel, or other scheduling conflicts.
Makeup sessions are subject to coach availability and require timely communication whenever possible. A minimum of twenty-four (24) hours’ notice is preferred.
Unused membership sessions do not carry over into future billing periods, expire at the end of each billing cycle, and have no cash value.
5.6 Chargebacks and Payment Disputes
Clients agree not to initiate chargebacks or payment disputes for charges that were validly authorized under this Agreement.
Any chargeback, payment dispute, reversal, or returned payment may result in the immediate suspension of services while the matter is investigated and resolved.
The client remains responsible for payment of all services rendered prior to any chargeback or payment dispute, including any applicable fees incurred by YOUTRAINFITNESS®, L.L.C. in responding to the dispute.
5.7 Modification of Pricing or Payment Terms
YOUTRAINFITNESS®, L.L.C. reserves the right to modify pricing, payment methods, payment processors, membership structures, billing procedures, or related policies at any time.
Any pricing changes affecting future recurring billing cycles will be communicated to active clients in advance. Changes will not affect services that have already been paid for or billing cycles currently in progress unless required by law or agreed to in writing by both parties.
6.0 ATTIRE FOR EXERCISING AND FRAGRANCES
Clients are expected to wear clean, supportive clothing during training sessions. Acceptable attire includes:

T-shirts, sweatshirts, shorts, sweatpants, tights, or similar garments that provide support and allow for safe movement

Supportive athletic shoes, such as cross-trainers
Maintaining good personal hygiene is essential for a positive and productive training environment for both the client and trainer. Clients should be mindful that strong fragrances—such as perfumes, colognes, or scented lotions—can be distracting or trigger allergic reactions in others. We ask that clients use fragrances sparingly or choose unscented products whenever possible.
7.0 PHYSICAL CONTACT (SPOTTING OR CUEING) DURING SESSIONS
During training sessions, physical touch (such as spotting or cueing) may be necessary to ensure exercises are performed safely and effectively. Whenever possible, the trainer will inform the client in advance of any physical touch that may occur.
Clients have the right to refuse physical touch at any time. If you do not wish to receive a physical cue for any reason, please inform your trainer before the first session begins. Your preferences will always be respected throughout your training.
8.0 CODE OF CONDUCT BETWEEN TRAINER AND CLIENT
The relationship between trainer and client is strictly professional and exists to support the client in achieving their fitness goals. Clients are expected to focus on the objectives agreed upon at the start of the training relationship.
Under no circumstances should either the trainer or the client behaves unprofessionally. Examples of unprofessional behavior include, but are not limited to:

Harassment or intimidation

Intimate or sexual behavior

Use of offensive language
-
Inappropriate comments
-
Inappropriate touching of any kind
All unprofessional behaviors are strictly prohibited. Any violation may result in the immediate termination of the trainer-client relationship.
9.0 PACKAGE EXPIRATION
Unless otherwise stated, all fixed personal training sessions will expire three to six months after the date of purchase.
Clients are encouraged to purchase only the number of sessions they can reasonably complete within this time frame.
Monthly membership sessions expire at the end of each 30-day billing cycle unless renewed through the automatic billing program.
10.0 REFUND AND SESSIONS/CLASSES TRANSFERABILITY
All purchased training sessions and classes are non-refundable and non-transferable.
11.0 CLIENT INCENTIVES
We offer a referral program to reward our clients for their support:
Incentive – Referral Program
To show our appreciation for your support, we offer a complimentary session when existing clients refer someone who purchases a package or the equivalent of 12 sessions. This is our way of saying “thank you” for helping us grow our community.
12.0 ATTENDANCE, RESCHEDULING AND TRAINING CANCELLATION
Client Responsibility:
Clients are expected to be present and on time for each training session.

If a client is less than 15 minutes late, the session will proceed as scheduled but may end at the prearranged time.
-
If a client is more than 15 minutes late without prior communication, the session may be counted as a cancellation, and the client may be charged for the session.
-
If the trainer is late, the client will receive the full scheduled session.
Example of prior communication: Calling or emailing the trainer to notify them of heavy traffic or an unavoidable delay.
Rescheduling and Cancellations:
A minimum of 24 hours’ notice is required for all rescheduling or cancellations.

Cancellations or reschedules with less than 24 hours’ notice will be charged for the session.

Exceptions are made for severe weather, serious illness, or other medically documented conditions beyond the client’s control. Abuse of this leniency is not permitted.
Clients are responsible for contacting their trainer by phone or email to reschedule sessions when necessary.

Trainer Responsibility:
If the trainer cancels a session with less than 24 hours’ notice under the same conditions, the client will receive a free replacement session.
12.1 LATE CANCELLATION AND NO-SHOW POLICY (STRETCHING CLASSES)
To ensure fairness and availability for all participants, the following late cancellation and no-show policy applies to all stretching classes:

Participants must cancel their class reservation at least six (6) hours prior to the scheduled class start time to avoid losing the session.

Cancellations made within six (6) hours of the class start time will be considered a late cancellation, and the session will be deducted from the participant’s studio pack.
-
Failure to attend a scheduled class without prior cancellation will be considered a no-show, and the session will be deducted from the participant’s studio pack.
Studio packs are non-refundable, and late-cancelled or missed classes are not eligible for credit, extension, or rescheduling.
13.0 TERMINATION OF SERVICES
Unprofessional or Abusive Behavior:
Mistreatment of any kind will not be tolerated. YOUTRAINFITNESS® personal trainers reserve the right to terminate any training relationship immediately if a client or client’s guest engages in unprofessional behavior, including but not limited to abusive conduct toward other clients, guests, or staff.

Client-Initiated Cancellation:
If a client wishes to terminate their exercise program before completing all scheduled sessions, written notice must be provided at least one week in advance.

Cancellation with less than one week’s notice will result in a charge for one session, based on the client’s current package, which will be invoiced.

All purchased sessions are non-refundable.
14.0 MAKING SCHEDULE ADJUSTMENT
Client-Initiated Schedule Changes:
If a client wishes to change their training schedule—for example, switching training days or adjusting training frequency—the client must submit the request in writing (email) at least one week in advance.
The trainer will review the request with the client, discuss exercise goals, and determine any necessary adjustments to the program based on the new schedule or frequency.
Trainer-Initiated Schedule Changes:
If the trainer needs to adjust the schedule, they will discuss options with the client to find mutually agreeable dates and times.

If an agreement cannot be reached, the current schedule will continue until the end of the client’s current package, unless the schedule adjustment is urgent.

In urgent situations, the trainer reserves the right to make the final decision regarding the schedule adjustment.
15.0 CHANGES TO POLICY
YOUTRAINFITNESS® reserves the right to review and modify our training policies and fees periodically. Any changes will not affect a client’s current personal training agreement.
Clients will be notified of policy or rate adjustments via email.
16.0 CONFIDENTIALITY AND USE OF CLIENT INFORMATION
All information obtained in connection with this exercise program will be treated as privileged and confidential. It will not be released to any person without the client’s express written consent, except where disclosure is required or permitted by law.
Clients are asked to consent to the use of non-identifiable information for research or statistical purposes, provided that the information cannot be used to identify the client.
All personal information and data will be used exclusively by YOUTRAINFITNESS® for the purposes of prescribing exercise and evaluating the client’s progress in the program
17.0 SUBSTANCES USE
The use of tobacco, marijuana, alcohol, non-prescription drugs, or any other substance that may cause impairment is strictly prohibited prior to the start of any training session.

First violation may result in a warning or immediate termination of the trainer-client relationship, at the discretion of the trainer.
18.0 WEAPONS
Weapons of any kind are strictly prohibited on the premises in accordance with North Carolina General Statute § 14-415.11(c).
Violators may face misdemeanor or felony charges, depending on the circumstances.
19.0 PHOTOGRAPHY AND VIDEO RECORDING
Unauthorized photography or video recording is strictly prohibited on YOUTRAINFITNESS® premises, as the facility is private.
To protect the privacy and confidentiality of our staff, clients and visitors:

No pictures or videos may be taken without the prior consent of the facility owner.

Members, staff, clients, visitors, and guests may not be photographed or recorded without their express written authorization, even if permission to record has been granted by the facility owner.
- Clients and customers are responsible for informing their guests that unauthorized photography and video recording are prohibited.
Exception: Trainers may record or photograph a client during exercise solely for the purpose of demonstrating proper form or technique.
Consequences of Unauthorized Recording:

A warning will be issued upon the first incident.
-
Any subsequent violation may result in immediate termination of the training relationship.

Sessions or classes already purchased will not be refunded.
-
The individual filmed without consent, along with the facility owner, may pursue further legal action.
20.0 EXERCISE PROGRAM WRITE-UP
The preparation of a client exercise program is not automatically included as a free service with any training session, including:

1-on-1 private personal training
-
Private partner training
-
Private trio training
- Program design
-
Any other training service provided by YOUTRAINFITNESS®
Creating a personalized exercise program may require significant time and resources beyond the standard training session.
As a courtesy, each client will receive one lifetime complimentary exercise program write-up at no additional charge.
If a client requests additional exercise program write-ups, one session will be deducted from the client’s account per write-up. There is no limit to the number of additional programs a client may request, provided the appropriate session deductions are applied.
